Overview

What is the Campaign Status Panel?

Reflecting the campaign's kick-off and expected launch dates, the Campaign Status panel displays a campaign's workflow, the steps which make up that workflow, and the status of each of those steps. Upon creating a campaign, you will need to select the Creative Build Complexity Level. Having done so, you will use the resulting Status panel to manage the lifecycle of your campaign. Notably, each advertisement and flight added to a campaign will have its own Status panel.

How Can the Campaign Status Panel Help Me Manage a Campaign?

The Campaign Status panel consists of workflow steps, each of which represents a step in the development of your campaign. Each of these steps has been assigned a suggested due date. As each step is completed, you can transition to the next workflow step.

The status panel can also be used to see if team members who are responsible for approving a given step have acted upon it. These step approvers may include any team member that is added during a step transition and, in the case of the Concept Review step, campaign members assigned as a Concept Reviewer on the campaign. Using the Campaign Status panel you will easily see when a step's due date is in jeopardy.

Who Can Transition Among Steps?

Anyone in a campaign role can transition into or out of a workflow step as long as that step does not have any resources assigned to it as approvers. If a step has approvers, only the campaign owner and the approvers can transition in or out of that workflow step. Approvers can be assigned to a step during a workflow transition or, in the case of the Concept Review step, by being assigned as a Concept Reviewer on the campaign.

To View the Campaign Status Panel:

  • Click Campaign Manager in Primary Menu > Click Dashboard in Secondary Menu > Select desired Campaign > Expand Status panel

Setting the Creative Build Complexity Level

When your campaign is initially created and you view the Campaign Overview, there will be no workflow in the Campaign Status panel. To associate a workflow to your campaign, you will have to set the complexity level of your creative build. The available levels are:

  • Easy - Where the creative development will take approximately 5 days
  • Medium - Where the creative development will take approximately 10 days
  • Hard - Where the creative development will take approximately 15 days
Rule of Thumb for Creative Build Complexity Level
The more complex you expect your creative deliverables to be, the higher the Creative Complexity Level should be. A more complex level will allot more time for design and production deadlines. Keep in mind that you can change any default due date to fit your needs.

Managing Campaign Statuses

The Campaign Status panel can help you manage the lifecycle of your campaign. The panel consists of the steps necessary to complete a campaign and suggested due dates for each of these steps. Notably, the dates are set automatically based on your campaign's kick-off and expected launch dates, and the selected Creative Build Complexity.

As each step's deliverables are completed, any user with a role on the campaign can declare a step complete and transition to the next step. The only exception to this rule is on step which has approvers assigned. In an approver-required step only the noted approvers and the owner can transition through the step.

To transition a workflow to the new workflow step, click the green transition button. If your workflow must be reverted to a previous step, transition back by clicking the gray transition button.

At any given time, a step can be in a status of On-Time or Overdue.

Below is a list of all the Workflow Steps available, the transitions available to each step, and the roles who can transition a given step.

Configuring Workflow Transitions

Whenever you transition among steps, you will have the option of these additional actions:

  • Assign resource(s) responsible for completing the next step
    In addition to those who may be responsible for approving the next step based on their roles within the campaign, advertisement, or flight, you may assign any team member as an approver to the next step.

    Notably, a step-approver who does not have an assigned role will have access to the campaign/advertisement/flight - including access to all comments and emails generated - only during the step to which he is assigned.

  • Add a comment
    Add a comment that will be available to members and added step-approvers. This comment will be viewable in two places:
    • in the comments section of the campaign, advertisement or flight.
    • directly above the step to which it applies. If the step is transitioned into multiple times, only the comment associated with the latest transition will be visible.

  • Set who can view the comment
    By default, anyone on your teams will see the comment. You may add or restrict comment visibility as desired by simply adding or deleting a team name or a specific member name. To allow everyone on the campaign to see it, leave the visibility field blank.

  • Add files and file tags
    You may add files to the campaign process during workflow transitioning. Like any file added to a campaign, advertisement or flight, you may add tags to easily locate your files in the File Drawer.

  • Update the start date of the next step
    The start date of the next step is presented. If you desire, update the start date of the next step.

Viewing Approver-Required Steps

In steps which manage a review or QA process or have had an approver(s) assigned, you will see a list of these resources as well as an Approver Indicator representing each of their approval status. The Approver Indicator is a dot of one of three colors:

  • gray - the step approver has not acted on this item
  • green - the step approver has approved this item
  • red - the step approver has rejected this item
Resolving Approver Deadlocks
If multiple approvers exist on a step, they must all agree on the transition (e.g. approve or reject) before the step transitions. If there is a deadlock (e.g. one person approves and one rejects) then an owner must approve/reject the transition. Notably, owners can also override any transition at any time.

Editing Due Dates

Status steps and their completion dates are set automatically based on the kick-off and expected launch dates of your campaign. However, you can modify the completion dates on any active or future step. Once a due date is edited, the pending steps' due dates shift to accommodate the new due date.

To edit a due date, click on the end date in the step, modify it, and click the check-mark to save your changes.
